How do I communicate with the Group Travel Desk?

Once your group is confirmed, you will receive an email from groups.canada.groupes@aircanada.ca, which will include your group case number in the subject line.

This email response from Air Canada is crucial, as for all subsequent correspondence to
Air Canada, you must reply to the email without changing the subject line which includes your case number.

The Group Travel Desk is open daily. Weekdays from 06:00 to midnight, and weekends and statutory holidays from 06:00 to 22:00 Eastern time.

How many passengers can be booked in G-Cubed?

The maximum is 99 passengers per booking.  If your group size exceeds that amount, once your booking is done, please contact the Group Desk using your case number, and they will book additional passengers for you.

Each G-Cubed booking = One group = One contract.

Is the fare included in the contract guaranteed at time of ticketing?

The base fare and international carrier surcharge quoted at the time of original booking date, and included in the signed contract, are guaranteed. 

Taxes and other charges are not guaranteed. You must reassess them in your GDS at the time of ticketing.  This includes, but is not limited to:

  • Airport improvement fees,
  • Airport surcharges,
  • Customs and/or immigration fees,
  • Departure taxes, facilitation charges and fees,
  • Taxes and/or other third-party surcharges.

Debit memos will be issued for each ticket with under-collected taxes, fees and charges. 

Can Group Travel include interline itineraries?

Yes.  For interline bookings, Atlantic Joint Venture carriers (LH, OS, LX, SN, EN, EW,4Y, VL, UA) and EI, NH are permitted.  Other airlines are also permitted for other destinations.

What is the process for Fare Match?

Once the initial booking is completed, provide Air Canada with competitive information for fare match consideration, by replying to the last group case email received, without changing the subject line. 

Your email must include:

  • Routing, dates, base fare and total taxes of the other airline quote
  • The unsigned AC Group Contract as an attachment

Fare matches are not permitted with interline itineraries, and bookings made within 14 days of departure

What happens if the booking is cancelled after the contract has been signed?

The space will be released, and a debit memo will be sent to collect applicable amounts based on the contract deadlines.

What happens if the number of passengers drops below the minimum of ten?

The space will be released, and applicable deposit will be collected via a debit memo.  
You will need to rebook your clients in your GDS or via the Air Canada Contact Centres. 

What is the process to request name changes?

You must complete the Urgent Request for name changes and corrections form, or request name change (s) via email by replying to the applicable Group Case email thread.  Please clearly indicate which passenger needs to be changed.

Once you see in your GDS that AC has updated the name (s), you can claim the PNR and process an even exchange if applicable, or with a fee if exceeding 50% of the group.

Once tickets are issued, are changes permitted?

The changes are per the ticketed fare rule.  Change fee and additional collection may apply. Please reply to the last email from Air Canada on the applicable Group Case and ask about instructions for changes.

Can Aeroplan Elite member pay using their points and request an upgrade with their e-Upgrades certificates?

No. This is not permitted with Group travel.

Can customers select their seats?

Specific seat selection is not available. However, a standard block of seats is reserved for all group bookings so that passengers may sit together.
